Why stamp a PDF?

What is a PDF file?

PDF is the universal document format: it locks layout, fonts and images so a file looks identical on every device and printer. Scans, invoices, forms, e-books and reports all travel as PDF. Because a PDF is a container rather than an image, turning its pages into JPG or PNG pictures — or bundling pictures into a PDF — are among the most common file tasks there are.

Headed paper for the PDF nobody prints

A great many documents are generated by systems that know nothing about your stationery: invoices out of accounting software, statements from a database export, contracts from a template engine, reports from a BI tool. They arrive as clean, anonymous pages. Loading headed paper into the printer solves that for the copy that gets printed and does nothing at all for the PDF that everybody actually receives by email.

Stamping treats your letterhead as what it is — a page — and draws it onto every page of the document. One pass, no re-export, no design tool, and the source system carries on producing whatever it produces.

Over the top, or underneath

The choice matters more than it sounds. A mark that comments on the document — DRAFT, CONFIDENTIAL, an approval stamp, a date received — belongs on top, usually at reduced opacity so the text stays readable through it. A letterhead, a border, or a background belongs behind, so the document’s own content sits cleanly over it and nothing competes with the text. Both are the same operation with the layers the other way round.

It stays a document

The pages are not flattened into pictures. Everything that was selectable text before is still selectable text, still searchable, still copyable, and still sharp at any zoom — the stamp is simply drawn into the same page. That is what separates this from the screenshot-and-paste approach, which turns a searchable contract into an image of a contract.

One stamp, or one per page

Most of the time a single page is applied to everything: one letterhead, one watermark. Occasionally the stamp file has as many pages as the document — a per-page background, or a set of pre-numbered forms — and then the pages are matched up in order instead. If the document has more pages than the stamp, the matching wraps around, so a two-page alternating background works the way you would expect.
