Why add PDF bookmarks?

A 200-page manual without bookmarks is a scroll bar and a prayer. The bookmarks panel is the one piece of navigation a PDF has, and most documents never get one because adding entries by hand — a title and a page number, over and over — is exactly the sort of work nobody does. The structure is usually already on the page, in the size of the headings, so this can read it and propose the whole outline for you to correct rather than type.

What is a PDF file?

PDF is the universal document format: it locks layout, fonts and images so a file looks identical on every device and printer. Scans, invoices, forms, e-books and reports all travel as PDF. Because a PDF is a container rather than an image, turning its pages into JPG or PNG pictures — or bundling pictures into a PDF — are among the most common file tasks there are.

A scroll bar is not navigation

Open a 200-page manual as a PDF and the only way to reach chapter nine is to drag a scroll bar and watch page numbers blur past. The format has a proper answer to this — the bookmarks panel, a real contents tree down the side that every reader supports — and hardly any document has one, because filling it in means typing a title and a page number, then doing it another eighty times.

So documents ship without one, and every reader pays for it forever.

The structure is already on the page

A manual with no bookmarks still has chapter headings, and they are visibly headings: set larger than the body text, often bold, sitting on their own line. That is enough to work from. Ask for an outline to be built and the document is read, the headings found by their size, and a full draft proposed — nested by how much larger each one is, pointing at the page it appears on.

It is a draft, and it should be treated as one. Heading detection is inference, not fact: a large word in a pull quote can be mistaken for a chapter, and a heading set at body size in bold may be missed. Correcting twenty entries is a different job from typing eighty.

Editing by hand

Existing bookmarks are read in and shown as they are, so a document that already has a partial outline can be extended rather than replaced. Each row is a title, the page it jumps to, and how deeply it nests — three levels, which is as deep as a contents panel stays useful. Clearing the list entirely removes the outline, which is a legitimate thing to want.

An outline nobody can see is an outline nobody uses, and most readers keep the side panel closed by default. So a document with bookmarks is also marked to open with that panel visible. If you would rather it did not, Set How a PDF Opens changes it back.

Nothing else is touched

Bookmarks live in the document catalogue, not on the pages. Adding them changes navigation and nothing else: pages, text, links, images and file size are all left as they were.
